How Project Timeline Estimation Works

From Hours to Calendar Dates

The calculation is: Work Days = ⌈Total Hours ÷ Hours Per Day⌉, rounded up to a whole day. Then those work days are mapped onto a calendar, skipping weekends if excluded. For example, 100 hours at 8 hrs/day = 12.5, rounded up to 13 work days. Starting on a Monday with weekends excluded, that spans 17 calendar days once the intervening weekends are counted.

Realistic Hours Per Day

While a standard workday is 8 hours, most people achieve 5-7 hours of productive project work after accounting for meetings, email, breaks, and context switching. Using 6 hours/day for the same 100-hour project gives 17 work days instead of 13 — a significantly different timeline. Be honest about your actual productive hours to avoid overly optimistic estimates.

Buffer Time — The Most Important Setting

Professional project managers commonly add contingency buffers. Rough starting points used in practice: around 10% for low-risk, well-understood work; around 20% for typical projects; and 30-50% or more for novel or complex work — but these are general planning conventions, not a value this calculator derives from your inputs. The calculator's output is the raw, unbuffered estimate; add whatever buffer fits your project's risk and communicate the buffered date separately from the calculated one.

This calculator estimates a single continuous work block. It does not account for multiple team members (divide total hours by team size), task dependencies, resource constraints, holidays, or parallel work streams.
